Brief Description
The role of the Business Administration Apprentice is to embed themselves into the Administration team at the practice and learn the different roles. On a day-to-day basis, the role will be processing information from both clinicians and patients to ensure a smooth running of the business functions.
Qualifications Required
Level 2 Administration or Suitable Experience
Personal Qualities
Approachable, willing to learn, confident to speak up.
Skills Required
Computer skills, using Microsoft Office applications or similar. Communication skills, both written and spoken.
Training to be Provided
Level 3 Business Administrator apprenticeship standard (can include Level 2 elements if required)
Level 2 Functional Skills in maths and English (if required)
This apprenticeship is delivered through a combination of Work Based Assessment and day/block release. The programme will culminate in an End Point Assessment, where all the skills and knowledge gained on the apprenticeship will be formally tested.
Future Prospects
On the completion of our apprenticeship, there may be the possibility of full-time employment with the practice. This would be dependant of your performance during your apprenticeship and how well you embed yourself into the practice teams. Discussions of full-time employment will take place close to the end of your apprenticeship so both parties have the time to discuss and plan.
Vacancy Detail
The role at Castle Medical Group will involve learning how to enhance your knowledge of computer software packages, communication skills and learning to manage your prioritisation skills.
The different roles within the administration team that will be expected to learn are patient referrals, patient recalls for annual reviews, scanning of incoming documents from third party agencies, registration and deduction of patients onto the clinical system and issuing of repeat medication.
Other general skills and tasks for the role will include but not limited to:
• Deal with all general enquiries, explain procedures and make new and follow-up appointments.
• Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
• Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
Other Information
The role will involve working in different departments of the administration team, you would therefore be expected, after training, to be a multiskilled member of staff that would be able to work in whichever team needed resources the most at any set time.
Monday to Friday, 37.5 hours per week
Including any College attendance requirements for the apprenticeship.
Working Hours to be agreed at job acceptance stage. This may mean rotating shift patterns, (Early starts one week, following by later starts the next week)
There will be a requirement to work one evening to 8pm on a rota basis shared with all members of the non-clinical team.
